Intern Onboarding + Experience Process

Onboarding Steps:

  1. The Hiring Manager for the Department submits incoming intern info with this form at least 2 weeks prior to the interns start date.

  2. The submission automatically creates a new task for Charls to deploy intern onboarding through the prep project.

  3. Within the prep project, most tasks belong to both Charls and the interns manager.

    1. Charls is responsible for:

      1. Platform Setup

      2. Create Acceptance Graphic

      3. Adding Welcome Letter and Proof of Course Credit to the Drive (if not already there)

      4. {optional for manager} Deploys Intern Workflow Asana Project (holds tasks + Time tracking)

      5. Deploys Intern Onboarding Checklist Template Here

      6. Create Time Tracker and Tasks for it (one for manager, one for intern)

      7. Make a copy of respective departments’ Intern's Onboarding + Development Plan & 30/60/90 Days Goals and share with manager via Slack

    2. Intern Manager is Responsible for:

      1. Confirming Intern Work Schedule

      2. Complete Intern's Onboarding + Development Plan & 30/60/90 Days Goals

      3. Ensuring Intern Meets work Hours / week.


Ongoing:

  1. Charls to Check that Development Tracker is filled out and tag managers if not [monthly]

  2. Charls to Analyze Time Trackers (Process Here) [weekly]

  3. Managers are to:

    1. Review Time Tracker that Charls shares in Asana and Review [weekly]

    2. Check in on Semester Project [bi-weekly]

    3. Filling out Development Tracker [monthly]

    4. Check in on 30/60/90 Day Goals for Intern [monthly]

  4. Maddy Warman to review mid semester survey responses and flag any concerns to program leads


End of Semester:

  1. Charlou assigns out Exit Survey

  2. Bryn LaRue Maddy to review end of semester survey responses and schedule 4ish exit interviews

  3. Charls shares completion graphic

  4. Intern Offboarding Task

    1. Checks to ensure offboarding date

      1. Manager must confirm offboarding when Charls reaches out

    2. Removes from Platforms after last day

  5. No platform removal needed for interns staying on, which is confirmed with manager


New Semester:

Charls to complete before the new semester

  1. Schedule Internship Program Dates

  2. Create Development Tracker for New Semester

  3. Create Participation Tracker for New Semester

  4. Create Interns Schedules Sheet for New Semester

  5. Create Welcome Letter Folder In Google Drive

  6. Create Proof of Course Credit Folder in Google Drive

  7. Create Folder for Intern Socials Graphics

  8. Add Semester's Managers to Development Tracker

  9. Update Asana Groups
