Job descriptions should be made using this template. Hiring managers are responsible for ensuring your up-to-date job description in the Internship Job Description folder.

Important notes on Talent Hub and interviews:

  • If you or someone on your team needs an account created in Talent Hub, please contact Brigitte Talaña

  • After completing an interview, hiring managers must use the note section interview information and update candidate stages.

  • (If Applicable) Completed Assessments should be reviewed within 24 hours. Reviewer is to add their feedback to the note section in Talent Hub.

  • Hiring Managers are responsible for clearing out “hard no” inbound applications, reviewing their application pool weekly, and saving/ moving any candidates through the pipeline (Screening, 1st Interview, 2nd Interview, Offer, Hired)

Overview of recruitment process:

  • Please update job descriptions using this template!

  • We recommend ~2-3 interviews before offer and an optional assessment (if applicable)

  • 1st interview - (30 mins)

    • If yes, action -> while on the call, inform the candidate that they will be moving on to the next step. If your team uses an assessment, send the brief directly to the candidate after the call. Add supplemental information to the note section. Update Stage.

    • If no, action -> Add notes and send template “TEMPLATE Pass after screen/interview”. Archive from pipeline.

  • Assessment (If applicable)

    • If yes, action -> hiring manager to review within 24 hours and leave feedback and clear next steps in Talent Hub notes. Update Stage.

    • If no, action -> Leave feedback in Talent Hub notes and send template “TEMPLATE Pass after skill gap determined”. Archive from pipeline.

  • 2nd interview- OPTIONAL - (30 mins)

    • If yes, action -> while on the call, inform the candidate that they will be moving on to the offer stage and obtain proof of course credit. THIS MUST BE UPLOADED PRIOR TO SENDING WELCOME LETTER. Add supplemental information to the note section. Update Stage.

    • If no, action -> send template “TEMPLATE Pass after screen/interview” and archive from pipeline.

    • Confirm College Credit: It is mandatory that all interns are receiving some sort of college credit. Please have the intern share proof of their credit (can be a screenshot) prior to sending a welcome letter.

    • Welcome letter - Ensure all notes are added to Talent Hub prior to sending the Welcome letter. Update stage to Offer.

Once Welcome Letter is signed:

Manager to push through here

  • Share intern’s Power Digital email alias login details

    • They will find a Slack and Asana email inviting them to join in their email

  • Manager to ensure the following:

    • Intern updates Google Calendar with working hours

    • Slack and Asana profiles are updated

    • Power Digital email signature is added in settings

    • Note timezone on slack
