How to Assign to Interns, Part-Timers, and Other Support

  1. Ask yourself: "Is this something I should be spending my time doing?" "Can I utilize my resources to get this deliverable to 90% complete, leaving just the finishing touches?"

  2. Reference the Eisenhower matrix for help understanding where delegation can occur

    1. 80% of your success will come from the 1st quadrant (Important & Urgent)

    2. Quadrant 3 is the prime opportunity for delegation

  3. Go to the Paid Media Support Dashboard in Asana

  4. Review the attached screenshot in the WORKFLOW FOR ASSIGNING TASKS to see who is the best option for the task you need assistance with

  5. Pay close attention to whether a task can be completed faster using Optmyzr or with the help of an AI resource. We should be using Optmyzr and AnyWord/ChatGPT FIRST before we determine that the manual/hands-on strategies work better. This will enable all of our resources to be more nimble and support us when we need them.

    1. Each template task has a description that will explain how to approach each task and has relevant materials already attached

    2. Create the task directly in this dashboard using one of the provided template tasks. If you need a template for a task that doesn't have one, message Jonathan on slack for guidance

  6. If it is not already filled in, please add your own name to the "Task Assigner" field, and the name of the person who will be doing the work to the "Task Owner" field


Considerations When Delegating Work to a Support Resource

  • Due Dates

    • Include a hard due date of when the task must be done in the description so there is full transparency when prioritizing

    • If applicable, factor in review times for yourself/client/account team as needed when you are assigning a task

      • The due date you choose is the date you'll get the task back. Leave yourself enough time to review before presenting/sending to the client

    • Keep in mind time differences

      • Ronna and Diana are both in the Philippines (14-15 hours ahead depending on daylight savings). They may not see a task until a day later in the week than when you assign it. Factor this into your timing and get tasks assigned out as early as possible

    • Check calendars/asanas to ensure that whoever you are sending the task to will be able to complete it in the time you need it completed

      • E.g. interns and PTers may not work every day/full hours on a day

    • When in doubt about delegating work to a resource, you can always slack them or their manager directly.

      • Can also slack Jonathan Reisch and he will know/be able to find out
