Lifecycle Assignment Process & Timeline (for Copy)

Outline the process for making requests to the lifecycle department for copies of email projects.

SPECIFICATIONS

The team members assigned to create copies of emails are:

  • Interns for the semester: Please reach out to Jordan Killenberg

  • Preliminary Documentation Should Include:

    • The email strategy is in either a calendar format or a document.

    • The copy doc template containing all emails and SMS messages to be written, including the campaign's objective, tone, and key messages.

    • Important links, images, documentation, and A/B test details.

    • Valuable brand documentation, such as manuals, guides, and brand

MILESTONES

  • For New Clients:

    1. The strategist contacts the copywriter via Slack to provide some background on the client and the task.

    2. Fill out the Asana form, which includes all necessary information.

    3. Ideally, you schedule a 15-minute call with the copywriter one day before they begin writing the copy.

      • Purpose of the Call: To obtain first-hand information and understand the client's and team's vision.

  • For Existing Clients:

    1. Fill out the Asana form, which includes all necessary information.

      1. Please allow for at least 3-4 business days turnaround for email copy requests.

    2. If there is a new strategy, approach, or client instructions, they should be documented in Asana and double-checked via Slack.

Reach to the builder:

After creating your request, I recommend that you reach out to the builder via Slack or, even better, set up a short call to explain him/her the requirement and clear any questions or doubts they may have.

Follow up:

  1. Follow the building process through the Asana task comments section or the internal client Slack channel.

  2. Also, these channels should be used to notify the builder of any changes or feedback from the client.
