STEP ONE
LINK YOUR ASANA NOTIFICATIONS TO YOUR SLACK.
Asana Slack Integration
How to download? Download feature via this link.
What does this do? This will create a new bot channel that will specifically notify you whenever a task is assigned to you or someone mentions you on a task. This also notifies you of changes in a task that you’re a collaborator on.
Why do we need this? Asana will be the source of truth for the status of our all projects. This app integration will help you keep on track with your deliverables as it moves through the motions.
By when? Get done by EOW!
STEP TWO
BOOKMARK THE NEW ASANA BOARD AND THE ASANA FORM.
What’s new? Asana Tasks are now broken up 1 concept each. No more tasks that include all the month’s deliverables. 1 Asana task = 1 creative concept.
Do’s and Don’ts? ALL tasks must be submitted via the Asana form. No more duplicating tasks in Asana to create a new task. This ensures each task has all the info it needs for us to properly keep track of your project and make sure it gets done in due time!
STEP THREE
STAR THE TIKTOK NEW ASANA BOARD TO FAVORITES BY HITTING CLICKING THE STAR AT THE TOP OF THE PAGE. THIS WILL PLACE THE PLACE ON YOUR HOMEPAGE!
STEP FOUR
PRODUCER TO INPUT THE NEW ASANA BOARD VIA THE ASANA FORM.
THIS POPULATES THE TASK WITH THE NEW TEMPLATED ASANA TASK.
What am I looking at here? This is how the new tasks look when you submit a concept. All the information drops into the description and all the subtasks populate that represent each duty needed to be done through each stage of production. Worthy to note that each subtask will be assigned to its respective owner and the respective due date. Also, the overall assignee of the task will change as the video moves through each subtask.
What do I need to submit the form? You’ll need your creative roadmap built-out for the client’s deliverables as that will house the treatments for which the content creator and editor will base their execution off of. Asana and milanote will be worked through in tandem as projects get executed.
Due dates? There are 2 types of due dates. Internal and External. Internal due dates are for when the editor needs to submit the video(s) for internal review and is set 3-5 days prior to the External due date. External due dates are set-up for when the producer needs to deliver the video(s) to the client–this is typically 1 month from previous delivery–if reviews take place during client meeting, the External due date should be set for the day before to avoid hasty editing and delivering!
STEP FIVE
KEEP TRACK OF YOUR PROJECT
How, where, and when? You’ll need to regularly check the board to keep track of your projects and to see if anything new populates! Regularly = throughout the day as necessary! But also, your asana slack bot will be sure to notify you on these things as well in case anything falls through the cracks!
